Job Description:

Position Summary: Vallen is currently seeking an Office Coordinator to manage administrative activities within the branch by performing the following duties: Responsibilities:

  • Analyzes and organizes office operations and procedures such as A/P, coordinating building maintenance, maintaining adequate office supply levels, answering phones, working with various vendors and coordinating branch event functions.
  • Evaluates office production, revises procedures, or devises new forms to improve efficiency of work flow.
  • Establishes uniform correspondence procedures and style practices.
  • Formulates procedures for systematic retention, protection, retrieval, transfer, and disposal of records.
  • Plans office layouts and initiates cost reduction programs.
  • Verify and approve time for nonexempt employees
  • Supporting teams (Sales, Tech Services, Operations) with reporting, quotes, A/R, customer needs print media, and various administrative duties
  • Reviews clerical and personnel records to insure completeness, accuracy, and timeliness.
  • Prepares activities reports for guidance of management.
  • Coordinates activities of various departments or workers within department. Requirements:
    • Strong financial background is a plus
    • P&L exposure is highly desired
    • Experience with MS Excel, PowerPoint, and Word
    • Ability to create Sales presentations and generate sales reports
    • Must be highly organized and able to multitask in a fast paced environment
    • Strong verbal and written communications skills
    • Bachelor's degree preferred
